The Ignite AI Grant:What It Covers and How to Use It.

A plain-language read of a real funding program, written for the owner who has ten minutes and wants to know whether it applies to them. No jargon, no forms to fill in here.

What It Is

Two Programs, One Name.

Ignite AI is run by IION, Innovation Initiatives Ontario North. It is open to for-profit companies registered and operating in four districts: Nipissing, Timiskaming, Parry Sound and Muskoka. If you are in North Bay, Mattawa, Sturgeon Falls, Parry Sound, Bracebridge, Huntsville, Gravenhurst, New Liskeard or anywhere between, that is you.

There are two streams under the same banner, and they do different jobs. Most companies are better off using them in order.

Stream 01

Catalyst Advisory

Up to $10,000

Non-repayable, fully reimbursed after the work is finished and you show proof of payment. First come, first served, with no intake windows, and typically about eight weeks of work.

IION matches you with an advisor by sector fit. The advisor quotes, you and IION approve, the advisor invoices you, and IION reimburses you. What you get out of it is a documented AI adoption plan, which is exactly the thing a later grant application needs.

Stream 02

The Grant

Up to $20,000

Non-repayable, covering 50% of eligible costs before tax. On a $40,000 project that is the full $20,000. The minimum project size is $10,000, and every eligible cost has to be with a third-party contractor or vendor.

You pay the vendor in full, including HST, then claim 50% back. You have six months to complete the project after approval. It is competitive, reviewed by an external committee, and it is one grant per company for the life of the program.

On timing: applications are collected in intakes and reviewed monthly. I do not publish deadlines here because they move. Check IION's program page for the current intake and the live rules before you plan around any of this.

Do You Qualify?

Run down the list. IION makes the final call, but if you cannot tick all six, the answer is probably no.

The Checklist

For-profit

A business, not a charity, a not-for-profit or a public body.

Under 500 employees

Small and mid-sized companies. Most industrial firms in the region are nowhere near this ceiling.

Registered and operating in the four districts

Nipissing, Timiskaming, Parry Sound or Muskoka. Registered somewhere else and operating here is not the same thing.

A business model that supports forecast sales and job growth

The program is an economic development tool. It funds companies that are going to sell more and hire.

Fits IION's innovation mandate

Either you are commercializing a proprietary product, software or technology, or you are significantly refreshing a process through artificial intelligence. That second route is the one most industrial companies use.

A service business needs something it owns

If you sell services, the service has to be built around something innovative you own or control. A well-run service business with no proprietary element generally will not qualify on its own.

Who Is Not Eligible

Restaurants

Wholesalers, distributors and re-sellers

Not-for-profits and municipalities

Hobby, part-time and seasonal businesses

Companies outside the four districts

What Is Not Covered

Wages and internal costs. The work has to be done by a third-party contractor or vendor.

Stand-alone software subscriptions and token credits bought on their own.

HST. You pay it and recover it as an input tax credit, but it is not part of the 50%.

What Does Count as a Project

IION's eligible project types, in their wording. Most industrial work lands in one of the first four.

AI tools to improve internal operations and efficiency

Integration of AI software into existing products or services

AI-enabled prototypes or solutions

AI-driven process automation, robotics or marketing automation, including chatbots as part of a sales or customer funnel

AI infrastructure, licences or prepaid compute tied to a broader adoption project

The Process

How It Actually Runs.

IION's steps, in order, with one line on where a vendor like me fits at each one.

Check Eligibility With IION

Before anything else, confirm your company qualifies and ask which stream fits your situation. Intakes are reviewed monthly, so timing matters.

Define the Project

Decide what you are actually building, which eligible category it falls under, and what it should cost. Vague projects do not survive committee review.

Get a Vendor Quote

All eligible costs have to be with a third-party contractor or vendor, so you need a written quote with scope, price and timeline before you apply.

Where I fit: I provide a fixed-scope quote you can attach to the application, priced the same as it is published on my AI page.

Apply Before You Spend

The application has to be received before costs are incurred. Paying a deposit first can disqualify the project, so get the paperwork in first.

Where I fit: I do not invoice anything until you tell me the application is in and you are ready to proceed.

Committee Review

An external committee reviews applications. It is competitive, so a clearly defined project with a real business case beats a general interest in AI.

Where I fit: If IION confirms your application has gone to committee you may choose to start at your own risk. That is your call, and I will say so in writing.

Build Inside Six Months

Once approved, you have six months to complete the project. That window is the reason to keep the first project tightly scoped.

Where I fit: Every implementation I quote is scoped to finish inside six months, for exactly this reason.

Pay, Then Claim

You pay the vendor in full, HST included, then claim 50% of eligible pre-tax costs back. Budget for carrying the full amount until the reimbursement arrives.

Where I fit: I invoice on milestones so the cash outlay is spread out rather than landing in one lump.

Answer the 9 pm Enquiry

A general contractor gets enquiries through the website and Meta lead forms at all hours, and every one of them is a name and a phone number. An assistant asks the qualifying questions, writes the lead into the CRM with consent recorded, and follows up by SMS. The first call starts with the project instead of the introductions.

Draft the Estimate Overnight

Drawings and specs come in faster than the one estimator can turn them around. A quoting assistant reads the inputs, drafts an estimate from the shop’s own price book, and hands it to the estimator to check and adjust. Nothing goes to a customer without a person signing off.

Stop Retyping the Same Report

Field notes, comparables and photos get retyped into a report template every single job. Document automation pulls the structured inputs together and drafts the standard sections, leaving the appraiser to do the judgment work the file is actually paying for.

Show the Buyer Their Configuration

Buyers want to see their build, not a photo of someone else’s. A configurator-to-render pipeline turns the selected options into a photoreal image the sales team can send the same day, and the same pipeline feeds the product pages on the website.
